I’m looking for someone proactive and detail-oriented with excellent written communication skills to be my virtual assistant. To be blunt, I’m looking for a perfectionist who loves taking care of people and making sure things are done the right way.


  • This is not an entry-level position. You should have at least 1-2 years experience working as an executive assistant for a business owner.
  • Expect to get several requests/day from me, many of which include tasks that must be done that day.
  • You’ll handle both business and personal details, including scheduling, customer support requests, transcribing notes, emailing clients, uploading blog/social media posts, and making personal appointments.
  • This is a client-facing role so you must have a nurturing, professional personality and the desire to treat our clients like they are your family.
  • This is a part-time role, starting between 10-20 hours per month. If we work well together, this will likely increase to more hours per month.
  • This role is remote, so you can work anywhere in the United States as long as you are available from 8am-6pm Eastern Time on weekdays. We will communicate via email, slack, and phone.

Tasks & Responsibilities

  • Maintain daily calendar, arrange client sessions while making sure all details are handled in a professional and organized manner.
    Organize daily tasks and projects. You must be an excellent project manager and love optimizing processes.
  • Send proposals, contracts, resources and follow up notes to clients and respond to support requests. You must enjoy listening to and solving problems for others.
  • Maintain CRM.
  • Locate and track key sales metrics in Google Sheets.
  • Book all business and personal travel arrangements including lodging, transportation, and activities both within the United States and internationally.
  • Assist with monitoring of my inbox and emails, including responding to clients, other contractors, business contacts and unsubscribing from lists.
  • Manage website on Squarespace (includes uploading blog posts), and scheduling social media posts on Facebook, LinkedIn and Instagram.
  • Research prospects and provide detailed information that allow us to surprise and delight them. (Think Facebook stalking to find out someone’s favorite restaurant)
  • Research and be the point person for service providers for projects such as web design.
  • Handle personal details such as shopping online, ordering gifts, scheduling personal appointments, and maintaining household items.
  • Create new systems to do all of the above more efficiently and/or automate with software.

Knowledge & Skills

  • Ability to manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order and in the correct manner.
    High level of experience with Apple Products, Google Apps, Goodnotes, Slack, and Squarespace.
  • Knowledge of ConvertKit or similar email marketing application.
  • Ability to quickly learn new software applications. Must be tech-savvy.
  • Capability to recommend and set up new systems, automations, and processes in order to streamline business and personal functions.
  • Ability to proactively anticipate and spot new tasks that you can take over.
  • Desire to learn and grow, refusal to make the same mistake twice.
  • Experience editing video is a plus, otherwise must be open to learning.

  • Experience managing calendars and working with scheduling apps such as Calendly.
  • Must be reachable during the hours of 8am-6pm Eastern and respond to messages within 2 hours.
  • Top notch communication via email and phone, internally and with customers.
  • Proven ability to prioritize tasks.
  • Perfectionist, super attention to detail, paranoid enough to catch mistakes before they become an issue.
  • Since this is a virtual position you must be a self-starter who is extremely motivated and able to work independently with minimal oversight. If you do not have solid time-management habits already in place, you will likely fail at this role.
  • Must be comfortable developing and working in a virtual relationship, and having a limited amount of face-time.
  • Preferred at least 1-2 years experience as a virtual assistant for a business owner.
